Student Record Info
The Dean's Office serves as a clearinghouse for information about advising students.
The following information is available in the Dean's Office:
- List of students and assigned academic advisers
- List of advisees for each adviser
- List of students enrolled in each major
- Grade point averages for all HE students (also available for individual students on SIS)
- Current class assignments for all students (also available for individual students on SIS)
- Student addresses and phone numbers (also available on SIS and the K-State People Directory)
Dean's Office Folders
The Dean's Office maintains a folder for each undergraduate student enrolled in the College of Human Ecology. The folder contains the ACT profile and High School Course Record (if available), grade reports, curriculum changes, off-campus enrollment approval forms, substitution requests, transfer transcripts and application of transfer courses for students not in DARS, class reassignments, graduation checks and correspondence.
Adviser's Folders
Advisers receive an Adviser's Folder for each advisee. The folder contains the ACT profile and High School Course Record (if available), grade reports, semester class schedules, and adviser's copies of transfer transcripts and application of transfer courses for students not in DARS, approval forms for curriculum substitutions and off-campus enrollment, graduation check and approved graduation application. Updated records for advisees are distributed to advisers when received.
Advisers can add other materials as needed. Advisers can track academic progress by maintaining an option sheet for each advisee and checking off courses as completed. Many advisers also maintain an anecdotal log of advising contacts filed in the Adviser's Folder.
K-State Student Information System (SIS)
SIS provides computer access to academic information. Contact Rita Newell (2-5503) for clearance to access SIS and training for its use.
K-State Degree Audit Reporting System (DARS)
DARS phase-in began with students who entered K-State Fall 1998 or after. DARS is a computerized analysis of an undergraduate student's academic progress which shows application of completed transfer and K-State courses toward degree requirements.
Student Records Policy
Federal law protects students' rights to privacy. Become familiar with the Student Records Policy-Kansas State University as printed on the following pages. Do not photocopy records or release information unless permissible as defined in the policy.
Student Rights according to the Family Educational Rights and Privacy ACT (FERPA).
Certain information concerning students is considered to be open to the public upon inquiry unless a student has requested that this information not be released. This public information is called directory information and includes the following:
- Name
- Local Address and Phone
- Permanent Address
- E-mail address
- Degrees and Date Awarded
- College
- Curriculum
- Year in School
- Dates of Attendance at K-State
- Photograph or likeness
- Most recent previous educational institution attended
- Participation in officially recognized activities and sports
- Height and weight of members of athletic teams
- Date and Place of birth
- Awards and Academic Honors
If a student has filed a "Non-Disclosure Request" with the Registrar's Office, NO INFORMATION IS TO BE RELEASED.
